Mileage Tracking for Solar Sales Consultants
Many solar sales consultants drive 20,000 to 50,000 business miles a year. At the 2026 IRS standard rate of 72.5 cents per mile, that is a deduction range of $14,500 to $36,250 for the workers who can claim it.
Who can deduct
Solar sales consultants are nearly always independent contractors earning a 1099-NEC. You file Schedule C and deduct every business mile at the 2026 IRS rate of 72.5 cents per mile. If you receive a W-2 from a solar company, you are an employee and cannot deduct mileage on your federal return under the TCJA (extended by the One Big Beautiful Bill). States such as California, Illinois, and Massachusetts require employers to reimburse employee mileage - contact HR for the company's reimbursement policy.
How solar sales consultants actually drive
An active solar consultant running 6 to 10 in-home consultations per day across a metro area commonly logs 25,000 to 40,000 business miles a year. Consultants covering rural territory often log more.
Typical deductible trips
The trips below are the ones solar sales consultants most commonly forget to log, plus the obvious ones. Auto-tracking catches all of them, including the small ones that add up.
- Driving to a homeowner's property for an initial solar consultation
- Driving to a site for a roof or shading assessment before preparing a proposal
- Driving to a county permit office or planning department for permit applications
- Driving to an installation site to meet the install crew and review the system with the customer
- Driving to a follow-up visit to confirm system performance or close out paperwork
- Driving to a solar company regional training or sales meeting
How TruMile helps
TruMile auto-detects every drive using motion plus location, so the trips above get logged whether you remember them or not. Smart classification learns your repeat routes (between regular client homes, between job sites, to your supply store) and starts tagging them automatically after a few trips.
At year-end, one tap turns your trip log into an IRS-compliant CSV or PDF you can hand to your accountant or paste into Schedule C. The math is already done.

FAQ for solar sales consultants
How do I know if I am 1099 or W-2 as a solar salesperson?
Most solar companies classify their outside sales force as independent contractors and issue 1099-NEC forms at year-end. If you set your own hours, work from home, and are not required to report to a company office each day, 1099 classification is likely correct. If you receive a W-2, you are an employee. Under the TCJA (effective 2018 and extended by the One Big Beautiful Bill), W-2 employees cannot deduct unreimbursed business mileage on their federal return.
The company gives me a car allowance. Can I still deduct mileage?
A flat cash vehicle allowance shows up on your W-2 as taxable wages - it is treated as earned income, the same as salary. If you are a 1099 contractor who received a non-accountable plan payment (cash with no documentation requirement), include it in your Schedule C income and then deduct your actual business miles at the IRS rate. If you received an accountable plan reimbursement (documented miles reimbursed at or above the IRS rate), the reimbursement is non-taxable and no additional mileage deduction is available for those same miles.
Can I deduct miles I drive to scout neighborhoods for leads?
If you drove a specific route with a genuine business purpose - for example, identifying properties with south-facing roofs in a utility district with high electricity rates - those miles are deductible on Schedule C. Log the date, the area, and the purpose. General driving with no defined business objective falls outside what the IRS recognises as a deductible business trip.
